The RapidResponse Emailing function is the primary vehicle to physically
distribute leads to their designated recipients. These recipients
are broken into six (6) groups; Prospects, Attendees, Sales Reps,
Sales Management, Show Management and Other. The email function
consists of three (3) parts: Setup, Creation and Sending.
Setup
For each recipient group variables can be established such as;
From Name, Subject, Signature, Body Text and Body Graphics.
In addition the client can determine the email format, attachment
format and email font. For prospects and attendee groups the client
can also determine whether to include a machine readable barcode,
the sales reps name and email address, and whether to include URL
links to website based PDFs for product information.
Email Creation
The system uses the setup information and the lead data to construct the appropriate email structure for each group.
Attendees and Prospects each get a single email built.
Sales reps and managers get a single email with an attachment containing the leads for their territory either in Text, CSV or Excel format.
Show Management gets a single email the show leads and the show report attached.
Other Management each get a single email with leads designated for them and a report concerning those leads.
Attendee email context can be further customized based on a "lead rating". Different emails
can be drafted for each of three (3) rating priorities because in selling "one size" does not
fit all.
Email Sending
Each recipient email list is sent after review by the leads
processor. A test email function can be used to verify each email
of selected emails. Each email and attachment is confirmed to be free
of viruses. An email sent log is available for review by each client
on an on-line basis.
Email Tracking
When emails are open or their URL links are clicked the information is reported back to the
the RapidResponse System for on-line viewing by the customer. A summary of all activity is
augmented by detail lists of each recepient's actions. Depending on the activity the rating of the
lead can be upgraded or a message can be sent to sales to increase the sense of urgency in responding
to the attendee.
